Booking Terms & Conditions
Elephant Lodge – Ojochal, Costa Rica
Effective Date: July 2026
Thank you for choosing Elephant Lodge. We look forward to welcoming you to Costa Rica and are committed to making your stay as relaxing and enjoyable as possible. Please read the following Booking Terms & Conditions carefully.
1. Reservations
A reservation becomes binding once Elephant Lodge has confirmed the booking in writing and the required deposit has been received.
A 50% deposit of the total reservation amount is due within 7 days of the booking confirmation.
The remaining balance is payable upon arrival unless otherwise agreed.
2. Prices, Currency and Taxes
The binding reservation price is recorded in Costa Rican Colones (CRC).
For your convenience, you may choose to book and pay in CRC, U.S. Dollars (USD), or Euros (EUR).
If you choose USD or EUR, the amount due will be calculated using the official exchange rate applied by Elephant Lodge, based on the exchange rate published by the Banco Central de Costa Rica (BCCR) on the day the payment is processed.
Exchange rate fluctuations between the booking date and the payment date may therefore affect the amount payable in USD or EUR.
Unless otherwise stated, all published room rates include the applicable Costa Rican taxes in effect at the time of booking. Should tax legislation change after your reservation has been confirmed, any mandatory government-imposed adjustments may be added as required by law.
Bank, credit card, or payment provider fees are the responsibility of the guest.
3. Cancellation Policy
Should you need to cancel your reservation, the following charges apply:
- From the date of booking until 61 days before arrival: 50% of the total reservation amount
- 60–31 days before arrival: 75%
- 30–15 days before arrival: 90%
- 14 days before arrival, no-show, or early cancellation thereafter: 100%
Cancellations must be submitted in writing.
We strongly recommend purchasing travel cancellation insurance.
4. Changes to Reservations
Reservation changes are subject to availability. While we will always do our best to accommodate your request, changes cannot be guaranteed.
5. Check-in and Check-out
Check-in: From 3:00 PM
Check-out: Until 11:00 AM
Early check-in and late check-out may be available upon request and subject to availability.
6. Breakfast
Breakfast is freshly prepared each morning.
Your selected breakfast option may be changed free of charge until the evening before the respective breakfast day. We are also happy to accommodate dietary requirements or allergies whenever possible if informed in advance.
7. Pets
We understand that pets are often cherished members of the family.
If you wish to travel with your pet, please contact us before making your reservation. Depending on the type and size of your pet, our occupancy, and the comfort of all guests, we will gladly consider your request individually and do our best to welcome both you and your four-legged companion.
8. Smoking
All guest rooms are strictly non-smoking.
Smoking is permitted only in designated outdoor areas.
9. Pool, Nature and Safety
Use of the swimming pool is at your own risk. Children must be supervised by a responsible adult at all times.
Elephant Lodge is located in the tropical rainforest of Costa Rica. Encounters with wildlife such as monkeys, toucans, hummingbirds, iguanas, frogs, insects, and other native species are part of the natural experience.
Guests are kindly asked not to feed or disturb wildlife. Elephant Lodge cannot be held responsible for inconveniences arising from the natural environment, weather conditions, wildlife, or temporary interruptions to electricity, water, or internet services beyond our control.
10. Liability
Guests are responsible for any damage caused by themselves or members of their party.
Elephant Lodge accepts no liability for the loss, theft, or damage of personal belongings except where required by applicable law.
11. Force Majeure
Elephant Lodge shall not be liable for events beyond its reasonable control, including but not limited to natural disasters, landslides, earthquakes, flooding, severe weather, pandemics, or government actions. In such cases, both parties will make every reasonable effort to find a fair and mutually acceptable solution.
12. Governing Law
These Booking Terms & Conditions are governed by the laws of the Republic of Costa Rica.
To the extent permitted by law, the place of jurisdiction shall be the registered location of Elephant Lodge in Ojochal, Costa Rica.
